Troubleshooting steps in LN7 & LN8  to check the mail size, while you get any problem related to mail capping or size exceeded.

Troubleshooting Steps in Lotus Notes 7 and 8

  1.  All Documents View -->Sort by size --> --->Check if user is having any large mails and help them to delete those mails.

  2. Check the Sent Item and help the user to Archive/Delete those mails.

  3. Check the Junk mail and help the user to Delete those mails.

  4. If the user have any folders, check those folder and educate the user to Archive/Delete mails.

  5. Got to Calendar Sort by All Calendar entries by All by Date   help the user to Archive/Delete the entries. Make sure user should not delete Parent/Rescheduling Calendar events.

  6. The mails that are deleted will be in the Trash , Makesure you help the user to empty the trash. (This is Very Important Step to follow)

  7. If still user gets the same error check the Database size and the Percentage used in Properties window ( Second Tab )


e.g    In this window,

User mail file size is 100 MB and Percentage used is 97.4 %. This mean in that 100 MB of size 97.4 % is been used by the document and the remaining is been used by the design elements. This will not sync with OSM Quota limit


Calculate the mail file size , Disk space * % used / 100 ==> 100*97.4/100 ==>97.4 MB, So mail file size is 97 MB


How to check the document in Hidden View :-

Educate the user to Select the Server copy ( do not open it ) then press the SHIFT + CTRL Key , double click on the server copy.

In Lotus Notes 8 : Select Server Copy (do not open it) then press the Shift + CTRL + ALT Key, now double click on the server copy of the mail file.

The hidden view's in the mailfile will be opened with a $ symbol

If you have performed all the above steps, Now help the user to Reactivate the mail send function from the server copy by Opening user mail file ( Server Copy ) -> Actions-> Tools -> Reactivated Mail Send Function


Please educate the user Under no circumstances should they perform another Reactivate the mail send function, because then they would be capped again.
